Video Livestreaming of Event

Service Description:

The ASCTech livestreaming service allows for certain events or talks to streamed so that people can view the event live via Zoom. If live playback is not needed, please select our regular recording service.

Livestream Guidelines and Requirements

  • The livestreaming service will primarily be facilitated by loaning out equipment that individuals can use to record and livestream their events. In-person recording (an ASCTech Employee is present to run the equipment) is a potential option for some types of events. The available options for each request will be evaluated on a case-by-case basis.
  • Event to be livestreamed must be held on the Columbus Campus (main campus).
    • The internet and tech setups at off-campus venues are outside of our control and we therefore are not able to support them.
    • As mentioned above, ASCTech can loan out equipment to help create a live stream setup for off-campus events, but the end user will be responsible for running and returning it.
    • Regional campuses are supported by OTDI's MITS service, please contact OTDI.
  • A lead time of at least 10 business days prior to the event is needed.
    • This will ensure we have time to properly scout the location and resolve any issues we may discover beforehand.
  • For events taking place in rooms supported by ODEE (https://odee.osu.edu/classroom-search), it will be the organizer’s responsibility to contact ODEE to obtain any necessary additional equipment for the room, such as microphones or furniture (https://odee.osu.edu/classroom-contact).
    • ASCTech can help advise as to what additional equipment may be needed.
  • Event must have an OSU staff or faculty member who will act as the coordinator/liaison with ASCTech regarding the preparation and details of the event.
  • The full details and expectations of the planned livestream event will need to be written out in a ticket and agreed upon by all parties involved at the beginning of the planning process.
    • ASCTech cannot guarantee that last minute changes or add-ons to event requirements will be able to be accommodated.
  • The in-person streaming option is available 8am-7pm Monday through Friday.
    • Requests for events going past or occurring after 7pm or on weekends will be evaluated on a case-by-case basis.

Eligibility: 

Available to all units in the College of Arts and Sciences.

By appointment.

What Is Included: 

  • Livestreaming of video (motion and sound) on location
  • Creation of specified file type (usually .mp4 or .mov) and placement on Teams, OneDrive or file server of choice.

Retention policy:

The ASCTech Studio will retain media it produces for one year from the date of recording. We can, on request from the requestor, move raw and produced media to a faculty or staff member's OneDrive.

Cost: 

Free to faculty, staff, and grad students in the College of Arts and Sciences for work-related projects.
