Ohio State Software Directory
You can skip the software preapproval process if there is a currently purchased or available product that meets your needs in the Ohio State Software Directory, if the item is on OSU Supplier Contract/Catalog (Buckeye Buy), if the software purchase must go through the Request for Proposal (RFP) process, if the request is for dues and memberships, or if the request is for eBooks for employees.
First, check the Ohio State Software Directory to see if the software is already available. Follow the instructions for requesting licenses for that software.
If submitting a requisition for software that is already in the directory and your use case matches, use Software Preapproval (SP) ID SP-00000123 on the purchase requisition or expense report.
Software preapproval process for new software and renewals
All new software purchases or software renewals (including free software and software as a service) not listed in the Ohio State Software Directory with other instructions must go through the Software Preapproval Process regardless of funding source or method of purchase (i.e. requisition or PCard).
What's Included in this Service
The EHE Digital Services team along with the college's Accessibility Coordinators will facilitate submitting new software requests to the university preapproval process.
- If it's new software that is not already in use somewhere in the College, the vendor will be contacted for security, data privacy and digital accessibility compliance.
- Submission to the university Software Preapproval Process.
- Submission of digital accessibility information to the Software Preapproval Process.
- Note: some software might fall into a "high risk" category for digital accessibility and require that the requester work with the EHE Web Services team to file an exception or to fund and perform a full manual evaluation.
