Outlook - Send Calendar Availability by Email

SUMMARY
Send your Outlook calendar availability to someone who doesn't have access to your free/busy time.

 

When arranging meeting times with an external party, it might be helpful to share your free/busy time. Follow the steps below to add your free/busy time in an email. Please note that this functionality is not currently available in New Outlook or Outlook Web. Users of New Outlook or Outlook Web can still share their calendar using a different method. See the Microsoft support link below.

  1. In Outlook, click the New Email button to compose a new message.
  2. Select the Insert tab at the top of the new message window.
  3. Click the Calendar icon, which is located in the ribbon above the "To" field
  4. The Send a Calendar via Email window will appear. Choose from the following options:
    • Calendar - Choose the default "Calendar" or any other Outlook calendar.
    • Date Range - Choose how many days to share.
    • Detail - Choose Availability Only (default), Limited Details, or Full Details.
  5. Click OK. The chosen calendar details will be added to your message and visible to your recipients.
