How do I add an organizational email account to Outlook (Windows, Mac, Webmail)?

Overview

Organizational email accounts are used to have a separate mailbox for a set purpose. An example is a graduate admissions mailbox.

They are useful when you either want multiple people to read one mailbox, have an outgoing message that is from the organization, or to assure that a mailbox can be passed from one employee to another.

Usage

Please see the attached file in the bottom right corner of the screen. These instructions work for Outlook 2013 and newer. The instructions are below for your reference as well.

Opening Shared Mailboxes in Outlook for Windows

  1. Open Outlook.
  2. Click File on the Menu Bar.
     
  3. Click the Account Settings button and then click on Account Settings in the menu list options the opens.
     
  4. In the Account Settings windows, make sure your OSU account is selected, and double-click on it, or click the Change button.

     
  5. In the new Exchange Settings window, click on the More Settings button.

     
  6. In the new window that opens, click the Advance tab at the top of the window, and then click on the Add button.

     
  7. In the Add Mailbox window, enter the email address of the shared mailbox at OSU that you wish to open, and click Ok. You can do this multiple times if you need access to more than one shared mailbox.

     
  8. After this click Ok --> Next --> Done, in the previous windows to save the changes and restart Outlook.
  9. Once Outlook opens back up, the shared mailbox(es) you opened, will show up in your list of folders as account headers. Click on  them to expand them and see the folders for the shared department mailboxes.

Opening Shared Mailboxes in Outlook for Mac

  1. Open Outlook for Mac.
  2. Select File.
  3. Select Open.
  4. Select Other User's Folder.

     
  5. Select Inbox from the folder type drop-down menu.
  6. Enter the Title of your shared folder in the search box.
  7. Select your Shared Mailbox from the list.
  8. Select Open.

Opening Shared Mailboxes on OWA (Outlook Web App)

  1. Log into your OSU email account through outlook.office.com or email.osu.edu.
  2. Once logged into your email, click on the icon with your initials to the far right of the top menu bar.

     
  3. In the menu that opens, click Open Another Mailbox.

     
  4. In the Open Another Mailbox window, type in the email address for the mailbox you want to open and click the Open button. The shared mailbox will open in a new tab for you to access it.
