To use Docusign to send out the Student Solidworks license key, you must have the necessary access in Docusign, which can be requested by a Docusign admin. Before rights can be given, you must take three classes in buckeyelearn.osu.edu. These classes are eSignature Sender, eSignature Author, and Protecting Institutional Data. Once that is done and the template for Solidworks in Docusign is shared to you, you may send it out to the appropriate people using the following methods:
- Sending Key to a Single Email Address.
- Sending Key to Bulk Addresses.
Sending Template Using Single Email Address:
-Log into Docusign at docusign.net. Type in your full email address. This should redirect you to another login page for OSU. Use your name.# and OSU password for this login page.
1. Once logged in, select the Manage Tab and click "Create".
2. Under Create, select "Envelope" then "Choose an Online Document".
3. On the Add a Document window, select "Shared Templates", then select "SolidWorks Student License", and click Add.
4. Fill in the single recipient to receive the document by adding their OSU email address and the full name, first then last. Fill in the other setting you may need under "Envelope Settings". Click "Next" to continue.
5. A preview of the document should open. Make sure the recipient name is in the top left and the check box next to "I have read and I understand this agreement" has a check box to the left and is highlighted. Click Send to send the document out.
Sending Template out to Bulk Addresses:
1. Create a CSV file with two columns. Row one in the first column should be named "Name", and the column should contain the users' full name (first then last). The first row in the second column should be named "Email", and the column should contain the users' full OSU email address. It must be an OSU email address to work. The document can be created in Excel as long as its saved as a CSV.
2. Follow Steps 1-3 from the "Sending Template Using Single Email Address" above.
3. Click "Add Bulk Recipients" and select your CSV file.
4. Check the import to make sure it looks correct.
5. Once added, there should now be two lines, one for a single email address and one for Bulk Recipient. If you are sending to just the bulk list click on the X to the right of the single email address line to remove it. Click Next when the recipients you want are listed and showing up properly.
6. In the preview screen, make sure "Bulk Recipient" is selected in the top left. Since we added a new recipient, we will need to place a checkbox in the template for the recipients to check. On the left side, click and drag the check box icon over to where it says "I have read and I understand this agreement" and place it where you would like. Once the check box has been placed click "Send" to send out the document.
